This guide describes the complete workflow of the SwiftWay application. We have broken the process down into 6 logical stages so you can quickly find the information you need or use this article as a checklist for training your team.

Stage 1: Creating the Route Foundation

What is a "Mission"?
A Mission is your digital route sheet for a single trip or work shift (e.g., "Morning delivery of 20 orders from the warehouse" or "Collecting returns from 5 city locations").
To create one, you only need to set two points:

  • Start point: where you begin (usually your depot or warehouse).
  • End point: where you finish (often the same depot).
    Once these points are set, the foundation of your route is ready, and you can start adding addresses.

Stage 2: Adding Addresses (Up to 200 stops)

We made data entry highly flexible. Choose the method that suits you best:

  1. Text & Autocomplete: Start typing, and the system will provide smart suggestions to fix typos and find the right address instantly.
  2. Voice Input: Tap the microphone icon on your iPhone keyboard and dictate the address directly into the search field. This is a completely hands-free method, ideal for use on the go or while driving.
  3. CSV Import: Perfect for bulk uploads from Excel, CRM, or other systems. Format: address;latitude;longitude. If coordinates are missing, the address is automatically queued for geocoding.
  4. Camera Scanning (OCR): Point your camera at a printed list. The system recognizes multiple addresses at once. Green highlighting means high confidence, yellow means low confidence. Tap Apply to send the recognized text to the geocoding queue.

Stage 3: Waypoint Deep Dive

A Waypoint is not just a dot on the map; it is an address with specific business constraints.

  • Time Windows: You can add up to 10 different time windows to a single address (each lasting up to 2 weeks) for long-term planning.
  • Tasks: Set up separate tasks for delivery or pickup. Each task can have its own service time (e.g., for different apartments in the same building).
  • Packages & Documents: Add packages with specific quantities (e.g., "Dresses, 3 pcs"). You can attach PDFs, photos, hand-drawn scribbles, or saved images to any package. You can also take a photo of the exact location of the item in the trunk (Cargo Place) and draw annotations directly on the image.
  • Contacts & Statuses: Store recipient contact details and log specific delivery failure reasons if a delivery is unsuccessful.

Stage 4: Route Optimization

The app adapts the route to your real-world conditions:

  • Under 4 stops: The app finds the shortest path without changing your original sequence.
  • Optimization Types: Choose between Optimal Route (shortest distance), Keep Order (preserves your sequence), or Maintain Time Windows (strict adherence to schedules).
  • Vehicle Settings: Account for vehicle constraints, avoid toll roads, ferries, or unpaved surfaces. You can even specify your preferred side of the road for arrival.
  • Comparison Screen: Before starting, you will see exactly how much distance and time the optimization saves compared to your initial list, including the estimated completion time with service times factored in.

Stage 5: Navigation & Service Mode

  • Navigation Options: You have three navigation options to choose from: Apple Maps, Google Maps, or the built-in SwiftWay Navigator. You can switch between them freely at different stops.
  • Arrival: Tap the Arrived button to enter Service Mode for that specific address.
  • Servicing: In this mode, verify documents, use the Cargo Place photo to instantly locate the correct package in the trunk, and capture the Proof of Delivery.
  • Completion: Tapping the Done button automatically advances you to the tasks for the next stop.

Stage 6: Completion & Reporting

Once all tasks at all stops are fully completed, the Mission is officially marked as done and moves to the History / Completed section.

  • Export: You can export the entire Mission as a ZIP archive. It contains all attached photos and documents, plus the main PDF file: the Mission Report (perfect for accounting or client reporting).
  • Remake: If you need to run the route again, open the Mission in the Mission Dashboard and start editing. All historical execution data will be safely cleared, allowing you to re-optimize and restart the Mission from scratch without building it manually.
